The position of Financial Administrator is an annual part-time contract position with the potential to be renewed annually. Compensation is currently $10,400 per year. The work is administrative, done out of the home office of the incumbent and meetings with the Supervisor, the MHTP Executive Director (ED) in the Orlando, Florida area. Approved office expenses are paid for by MHTP. Incumbent must supply three letters of reference and pass a background check. Please review the attached Job Description for details about the position.

REQUIREMENTS FOR APPLICATION

Knowledge, Skills, and Abilities (KSAs) Required for Incumbent:
- A Bachelor’s degree in an appropriate area of specialization (e.g. accounting or finance) or a high school diploma and two years of appropriate experience. Appropriate college coursework or vocational technical training may substitute for the required experience.
- Knowledgeable about MHTP policies, procedures, and history, ability to keep up to date on changes as issued by the MHTP Board of Directors and ED. Ability to completely support the MHTP mission and policies.
- Ability to work collaboratively with the ED, Board, Board Treasurer, MHTP students, and others in a professional manner, with flexibility as needed.
- Ability to complete, in a timely manner, all administrative tasks as described in this Job Description, and as assigned by the Supervisor.
- Extensive knowledge and skill using all QuickBooks and ability to learn programs as necessary. Ability to use electronic communication programs, e.g. Word and Excel.
- Demonstrated skill in writing and oral communication and organizational skills.

Financial Administrator Job Description
The Music For Healing and Transition Program, Inc. (MHTP) is a not-for-profit 501(c)(3) international educational organization which trains and certifies musicians to provide live therapeutic music, for the purpose of creating healing environments for the ill and/or dying, and all who may benefit. MHTP philosophy recognizes music as a therapeutic enhancement to the healing process and the life/death transition. Graduates of MHTP are Certified Music Practitioners® (CMP®). MHTP collaborates with healthcare facilities and community organizations to educate about, and promote research in, the effectiveness of therapeutic music.
MHTP is a founding and active member of The National Standards Board for Therapeutic Musicians (NSBTM), which has created professional standards for Therapeutic Musicians.

The work is administrative, done out of the home office of the incumbent and meetings with the MHTP Executive Director (ED) in the Orlando, Florida area. Approved office expenses are paid for by MHTP.
MAJOR DUTIES
A. Budget Operations Management
- Works with Executive Director and Board of Directors Treasurer to create the annual budget draft for approval by the Board of Directors (Board).
- Monitors and keeps track of income and expenses of all accounts using (currently) QuickBooks.
- Deposits monies in the appropriate accounts, reconciling the accounts monthly. Analyzes accounts for any anomalies or concerns. (MHTP currently has a general business account, a savings account for the Conference, scholarship, endowment and research accounts).
- Keeps track of invoices in priority of receipt, following the MHTP policy of paying invoices within 30 days of receipt. Informs staff and vendors by email immediately if invoice payment will be delayed past 30 days.
- Writes checks (may not sign checks) to be signed by the ED or Board President.
- Enters tuition, donation, and sales credit card payments.
B. Administrative Financial Program Support
- Organizes financial administrative files, e.g. audits, tax information, and records as necessary and stores specific files for required number of years as appropriate.
- Prepares monthly reports for the ED and Treasurer and Board as required and others upon request.
- Issues W9 and 1099s to independent contractors and staff.
- Maintains records of Student Payment Agreements and follows-up with students as needed, e.g. reminding them of payments due and automatic credit card payments, following up on denied credit card payments, payment errors, etc.
- Arranges for an accountant to complete the required tax filings and / or audits, providing all of the necessary documents and information.
- Administers the Scholarship Account.
- Writes receipt letters and donation thank-you letters.
- Administers the Savings Account and transfer of funds between accounts as required.
C. Collaborates with other MHTP Staff and the public
- Works with the ED, Board, Treasurer, Board, and any other staff when necessary.
- Works with MHTP students in managing the Student Payment Agreements.

Supervision
- The MHTP Financial Administrator is supervised by the MHTP Executive Director.
- Second-line supervision is provided by the MHTP Board of Directors.
Guidelines
- Written guidelines include the MHTP Standard Operating Procedures, MHTP Board policies and directives, MHTP Handbook, industry-standard financial reporting and filing documents.
- Additional guidelines and directives may be distributed via emails, phone conversations, and direct communication from the Supervisor.
