The Music for Healing & Transition Program, Inc. (MHTP) is receiving applications for the position of Chief Administrative Officer. Please see “Requirements for Application” below.
The position of Chief Administrative Officer (CAO) is a part-time position responsible for leadership in implementing the financial, marketing, fundraising and back office functions for the Music for Healing & Transition Program (MHTP)’s policies in a manner consistent with the mission and goals of the organization and the deliverables described in the CAO Job Description (below). The majority of the work is managerial and administrative. Some travel may be required.
MHTP’s CAO is engaged as an independent contractor. Compensation for this part time position is $40,000 per year. The CAO must be able to have flexible work hours for staff, committee, and Board of Directors (Board) meetings, conferences, and other projects.
The CAO works from her or his home office.
We anticipate the CAO will start work in April 2021.

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
1. Financial Management
Demonstrated ability in all aspects of sound financial controls, budget development and monitoring, forecasting, and overall financial management.
Ability to use financial management software programs, e.g., QuickBooks Online.
Ability to ensure financial, statistical, and accounting records and preparation of all required financial reports for the organization.
Ability to think creatively to assist in assessing and improving recruitment strategies for MHTP’s educational programs.
2. Administrative Management
Ability to work collaboratively with the CEO, other contractors, and Board of Directors.
A broad knowledge of not-for-profit organization management.
Skill in developing, executing, and monitoring of strategic and operational plans.
Skill in establishment and use of database management.
Ability to work with common electronic media, e.g., Microsoft Office Suite, Google applications, social media.
Ability to create and manage documents, e.g., policies, Standard Operating Procedures.
Ability to be flexible in work hours as needed and work virtually.
3. Marketing and Fundraising
Ability to develop and coordinate various marketing strategies and activities to achieve organizational growth goals.
Knowledge of media relations, including ability to develop, implement, monitor, and report on social media campaigns.
A strong ability to communicate effectively in writing and orally, including use of presentation tools, e.g., PowerPoint.
Skill in fundraising and fostering donor relationships.
Knowledge of grant writing and management.
Ability to represent MHTP to, and network proactively with, others, e.g., therapeutic music professionals, healthcare professionals, and donors.
4. Provide Supervision
Ability to manage extensively through virtual communication.

Chief Administrative Officer (CAO) Job Description
The position of Chief Administrative Officer (CAO) is a part-time independent contractor position responsible for leadership in implementing the financial, marketing, fundraising and back office functions for the Music for Healing & Transition Program (MHTP)’s policies in a manner consistent with the mission and goals of the organization and the deliverables described in this document. Much of the work is managerial and administrative and may be accomplished from the home office of the incumbent. Some travel may be required.
MHTP is a not-for-profit 501(c)(3) educational organization which trains and certifies musicians to provide personalized live therapeutic music at the bedside to create a healing environment. Graduates of MHTP are Certified Music Practitioners (CMP)®.
MHTP was established in 1994. It operates exclusively for charitable, literary, and educational purposes, funded from tuition and donations. MHTP is a founding member of the National Standards Board for Therapeutic Musicians, which creates and maintains professional standards for certified therapeutic musicians.
The charitable and educational objectives of MHTP are to:
Serve the ill and dying with live therapeutic music to facilitate and promote healing or assist in the life/death transition.
Teach the practice of this service.
Establish centers for education throughout the United States and internationally.
Provide the most up-to-date information and research findings about live therapeutic music (LTM) and the profession of CMP.
Provide continuing education opportunities for our graduates.
Develop affiliations with healing, charitable, and educational organizations where this service can be provided by CMPs.
MAJOR Deliverables
1. Financial Management
Prepare and Track Budget: Oversee the annual budget. Create the yearly operating budget in collaboration with the Chief Executive Officer (CEO) and with Board input and approval. Monitor income, ensure that operating results established in the annual budget are achieved, and ensure that the expenses are within budget. Review and recommend fair compensation strategy for staff and contractors, and help develop a plan to increase compensation based on responsibilities, skills, and experience.
Monitor and oversee financial management: Maintain full awareness of the complete financial, statistical, and accounting records of the organization; prepare financial reports for each Board meeting. Ensure that all information, reports, and records are provided in a timely manner as requested or required by law, e.g., tax reporting and insurance requirements. Ensure the accuracy, integrity, and timeliness of all financial accounting and reporting. Collaborate with the Board Treasurer and the Program Coordinator, who provides bookkeeping services. Immediately inform the CEO of any financial problem or issue.
Assist in Fiscal sustainability: Support the CEO to recruit students into MHTP’s certification training program. Provide operational and administrative support as directed by the CEO to support curriculum development and delivery.
2. Administrative Management
Attend Board and Annual meetings: At the discretion of the CEO, as necessary, attend regular Board Meetings (via Zoom) and the Annual Meeting. Provide a report of critical administrative accomplishments and upcoming priorities.
Manage Database: Determine the approach and lead the establishment of a comprehensive database for prospective students, active students, graduates, and donors.
Assist in Strategic Planning: Support the CEO in the strategic plan process, including but not limited to development, updates, new initiatives, implementation, and progress reporting.
3. Marketing and Fundraising
Oversee Marketing: Develop a comprehensive marketing plan, including but not limited to integrating messaging, collateral, educational material, media, public relations, fundraising, newsletters, MHTP website, and social media to reach MHTP stakeholders, including but not limited to current CMPs, prospective students, healthcare providers of all kinds, professional associations, and potential donors.
Oversee Fundraising: Emanating from the marketing plan, gather resources and develop a fundraising plan to financially strengthen MHTP beyond the existing tuition-base funding model.
4. Supervision
Supervise and conduct appraisals as directed, from time to time, by the CEO.
5. Ancillary Deliverables
Participate in Board committees, work groups, and Board development. Other deliverables may be assigned by the CEO and/or Board as necessary for the CAO to carry out the mission and vision of MHTP.
Performance Evaluation Criteria
Successful accomplishment of the Major Deliverables of the job description.
Successful accomplishment of annual and Strategic Plan tasks.
Development of strong working relationships, including but not limited to MHTP’s Board and staff, CMP’s, teachers, area coordinators, donors, professional advisors (e.g. fund raisers), hospitals, educational institutions, professional associations, and any others as directed by the CEO.
Advancement of the mission and vision of MHTP.

Supervision: The CAO is supervised by the CEO.
Guidelines for carrying out CAO deliverables: Guidelines include the MHTP Bylaws and Articles of Incorporation, Standard Operating Procedures of MHTP, MHTP Board policies and directives, the MHTP Strategic Plan, and standard criteria for not-for-profit organization management.
